Before You Hire a Dedicated Phone Operator

The Trigger

A hospitality venue is missing calls. The operator is considering hiring a staff member whose primary role is to answer the phone during service.

The Assessment

Before committing to a dedicated phone operator hire, the following questions establish whether the staffing solution addresses the full scope of the phone channel problem.

Question 1: What hours does the phone channel need to be covered? Otto platform data shows that 30% of calls to venues using Otto occur outside peak service windows. A dedicated phone operator working a shift covers the hours of that shift. Calls arriving outside those hours remain unanswered.

Question 2: What happens when the operator is on a call and a second call arrives? A human phone operator can handle one call at a time. During peak service, multiple calls can arrive simultaneously. A dedicated phone operator reduces the miss rate during their shift but does not eliminate it during simultaneous call windows.

Question 3: What are the full employment costs of a dedicated phone operator? The full cost of a part-time or full-time hospitality staff member includes base wage, superannuation, leave entitlements, and any applicable penalty rates for weekend and evening shifts. These are the periods when call volume is highest. The total annual cost of this hire should be assessed against the annual Missed Call Revenue figure calculated using The $1,000 Phone Call Problem standard.

Question 4: Is the operator's role limited to phones, or will they be pulled to other tasks? In a hospitality environment, a staff member hired for one role frequently absorbs other tasks during busy periods. If the dedicated phone operator is also expected to assist with counter service, packaging, or floor duties during peak periods, their availability for calls during the highest-demand windows is reduced.

The Framework

A dedicated phone operator is the right answer when the volume of calls is high enough to justify a full-time role, the venue's operating hours align with the hours that need covering, and the operator can be genuinely protected from being pulled into other roles during service.

Phone channel automation addresses the structural constraints a human operator cannot: concurrent calls, after-hours coverage, and the inability to guarantee availability during peak service without task conflict.
